We Elevate... Your Responsibilities

Main Purpose of the Job

To provide administrative support to the mangers of the Transport Department to ensure that it runs effectively and efficiently. 

Management of the Call-out Desk by allocating breakdown calls to engineers and recording details about the call onto the customer’s system, MAXIMO and internal systems.

 

Main Responsibilities

  • Answering telephone queries and/or redirecting calls as appropriate, in a courteous and professional manner.
  • Recording breakdown calls on SAP and provide Fault Report Centre with a breakdown number before dispatching calls to field engineers in a timely and professional manner, prioritising jobs as necessary.
  • Updating SAP systems regarding the content/status of the callout and chasing any shortfalls.
  • Contacting suppliers for quotes and raising Purchase Orders for spare parts and equipment once approved.
  • Review and release payment requests for goods / services ordered.
  • Weekly production of the open RST - 5B/S6 summary based on the client weekly reports.
  • Weekly maintenance of the open works on SAP RST.
  • Applying for RailSys access numbers from the customer, so that engineers/sub-contractors are able to attend site during engineering hours to carry out essential works / movement of materials from one area to another, i.e. between stations.
  • Applying for 90 day application for closure of a specific lift i.e. shut down and takes control of lift
  • Maintain and renew storage licences in a timely manner to enable storage of materials in designated locations.
  • Updating the RISQS database with company information.
  • Uploading information onto and closing works on the Customer’s MAXIMO system.
  • General administration – filing, typing, reporting – as required.
  • Undertaking other relevant tasks that may be required from time to time.

  • Good planning, organisation and time management skills.
  • Good communication skills, both written and oral.
  • Good IT Skills – Word, Excel, Power-point, Lotus Notes, SAP, Maximo.
  • Flexible approach.

  • Trustworthy and confidential approach.

 

Experience Required

 

  • Ideally, previous administration experience in the same/similar environment.
  • Working knowledge on how both the Transport Department and London Underground operate.
  • Knowledge of SAP.
