Existing Installations Coordinator

Mobility is the goal

The EI Coordinator is responsible for assisting the Regional Sales Manager, Regional Operations Manager and Supervisors with the service/maintenance departments. This role ensures that files are maintained, and assists with reporting, invoicing and activity coordination.

 

Service and Project Coordination

  • Assist with the development and coordination of field activities with Field Supervisor
  • Work with customers including property managers, architects and other trades to determine needs and respond to inquiries
  • Examine technical specifications to determine material and parts required for repair and modernization, and place orders accordingly
  • Manage administration and ordering of parts, supplies and permits
  • Track and maintain inventory records of maintenance and repair parts
  • Assist with field visitations to assess readiness/progression of site conditions for repair and modernization activities
  • Schedule planned repairs with customers
  • Issue submissions and arrange inspections with local elevating devices branch
  • Communicate major non-billable repairs with customers
  • Create and maintain MS Projects Schedules for modernization jobs

 

 

Maintenance of Documentation & Systems

  • Maintain and update tool calibration database
  • Maintain Master Vendor Listing as per ISO
  • Maintain and update manpower lists
  • Create and update training logs
  • Procedure development and maintenance
  • Maintain Accurate Route and Route Lists
  • Maintain technical library
  • Track and enter maintenance audits
  • Maintain records as required for Provincial Safety Board (Eg. CORE)
  • Maintain records for product liability claims
  • Maintain records for PAT, 5 point callback, safety and field

 

Finance Support

  • Assist with accounts payable processing
  • Issue and file purchase orders
  • Complete monthly invoicing as required
  • Process authorized field payroll and expenses
  • Track progress of repair revenue to meet monthly budgets
  • Generate time and material billings for supervisors approval and processing

 

Administrative Support

  • Support onboarding process for field employees
  • Manage uniform purchasing
  • Coordinate training for service department – supervisors and technicians
  • Prepare various reports utilizing SAP and MS Office
  • Review and create correspondence for hourly employees and customers
  • Filing and other administrative duties
 

Mobility needs you

  • Business school or college certificate or related experience
  • Proficient in MS Office
  • Knowledge of SAP reporting functions
  • Communication: Excellent verbal and written communication skills
  • Organization: Possess excellent organization skills with the ability to balance high volume of activities and changing priorities
  • Problem Solving: Information seeking and achievement orientation, ability to solve problems both independently and collaboratively  
  • Teamwork: Ability to interact with all levels and foster a teamwork relationship
