AHJ Compliance Manager - Field Quality and Engineering

Primary Function

The AHJ Compliance Manger analyzes, adapts, deploys, and monitors the use of Schindler Group tools, methods and processes as well as AHJ reports to achieve compliance targets as established internally and by respective Authorities Having Jurisdiction (AHJ’s).   He/she monitors and evaluates completion of, for example, CAT 5 and CPSI 5Y testing, as well as AHJ orders and CPSI and other NC’s (Non-Conformances) to drive the timely completion / correction of actionable items.  He/she maintains and improves the technical documentation of the company, including the technical archives (i.e. drawings, owner documentation, schematics, etc.). The AHJ Compliance Manager also maintains and improves the Organization’s Technical Database to effectively and efficiently support various business activities including Maintenance, Modernization, Repair, Qualison, Corrective Actions, and compliance with all relevant codes and standards.

This role demands strong administrative skills and requires an individual with exceptional organizational and task coordination skills, and a strong attention to detail. Prioritization and communication skills are critical.

Responsibilities

New Installation, Modernization and Existing Installation Methods and Processes

  • Identify, prioritize according to risk, schedule and monitor the completion of action items such as AHJ Orders, CPSI (or Other) NC’s,
  • Maintain, through the effective use of data and communication, within each Branch, the necessary focus on meeting Compliance Targets in a timely manner.
  • Assist in ensuring compliance with AHJ’s in our various regions, to avoid fines, penalties, extra fees or the like,
  • Identify internal BDPs and deploy them as part of continuous improvement.
  • Provide timely and adequate feedback to the Zone/Group and Field Operations; responsible to ensure local requirements are considered and delivered.
  • Support implementation of Zone/Group metrics to measure performance as expected and ensure compliance with the metrics interpretation with the Group standards.
  • Assist in scheduling and prioritizing the completion of periodic testing, NC closeouts, and the closing of AHJ orders. Ensure material availability prior to committing labour to start a project.
  • Conduct operational analysis of results and deviations (Organization and Branch level), make recommendations for action and priorities.
  • Work with regional AHJ’s to maintain alignment and the correct priorities regarding action items for FQE as well as Operations staff.
  • Support Technical Compliance Audit activities and impact, including the driving of Corrective Action completions and other audit preparations.
  • Monitor, analyse and make recommendations with respect to FQE key performance indicators (i.e. First Pass Yield, CAT 5 / CPSI completion, NC’s Over 100 days, others).
  • Interface with Branch Managers, Supervisors and others as required to obtain objectives.

Existing Installations Support

  • Perform maintenance and periodic testing efficiency gap analysis at the Organization and branch levels.
  • Participate in the creation of action plans to improve maintenance efficiency and effectiveness metrics (i.e. SU, MTBC, Units/Technician).
  • Assist the branches in the distribution, configuration, use and reporting of maintenance tools (i.e. Field Link), including most appropriate reports.

New Installations and Modernization Support

  • Perform pre/post gap analysis and assist the branches in taking appropriate corrective actions.

Documentation and Field Information

  • Maintain master listing of AHJ Orders across Branches, aging details, as well as action prioritization and execution.
  • Maintain, update and improve the company technical archive, and ensure accessibility for all employees.
  • Ensure that the Field Organization has a good working knowledge of the Technical Database in order to derive the maximum business value from this company asset.
  • Take ownership of the Technical Database, ensuring completeness and data quality. This includes not only existing data, but data related to recoveries and conversions.
  • Review all requests for changes in the Technical Database and test and implement them.
  • Translate and publish both the Field Information coming from the Group, as well as the Field Information issued locally regarding existing and/or non-Schindler portfolio.

  • Travel required; up to 35%

  • Post Secondary Education and/or related experience
  • Demonstrated understanding of key elements of our industry, products, and practices

Critical Skills

  • Strong proficiency in MS Office (must have), including ability to create presentations and document processes using flow charts. Knowledge of SAP considered an asset.
  • Analytical: Ability to think conceptually to have impact, ability to understand complex tasks/situations/problems, analyze them using a systematic approach and identify trends or relationships
  • Communication: Ability to communicate with tact and diplomacy, excellent verbal and written communication skills, capable of driving action / making an impact.
