Coordinator- Service (Montreal)

Primary Function 

The Service Coordinator is responsible for supporting the branch in the areas of dispatching service calls, creating maintenance work orders, and Safety regulations. He/She ensures that files and systems are maintained, mechanics are scheduled and coordinates Health and Safety meetings.

Responsibilities

General Administration

  • Produce maintenance and service work orders based on pre-determined schedule. 
  • Enter RBQ directives and Consultant Reports into custom software.
  • Monitor work order systems for RBQ directives and Consultant Reports for completion by technicians and report to organizations accordingly.
  • Monitor work order system for timely completion by technician, transfer of information from SAP to custom program and vice versa.
  • Provide sales support to Account Managers:
    • Setting up contracts, adjusting billings, credit requests, cancellations, etc.
    • Communicate with vendors to provide pricing for repairs proposals.
    • Makes changes in SAP to customer address changes, contacts, etc.
    • Send invoice copies and time tickets to customers when requested.
    • Support account managers in collections process with customers.
    • Keep territory changes up to date.
  • Provide back up support and coverage to warehouse stockkeeper:
    • Back up to preparing packages to be sent via courier.
    • Get parts pricing for repairs
    • Issuing Purchase Orders
    • Uniform Ordering
  • Set Health and Safety Committee meetings, produce and distribute agenda, distribute and post meeting minutes.
  • Contacting customers to make appointments, general information.
  • Preparing various reports utilizing SAP and MS Office Access.
  • Providing back up support and coverage for Branch Administrator:
    • Creating Employee Transaction Notifications (ETN) transactions for mechanics regarding route changes, supervisor changes, working hours, and other relevant changes.
    • Help with the review and creation of correspondence for customers.
    • Processing daily mail.
    • Creating Employee Transaction Notifications (ETN) transactions for mechanics regarding route changes, supervisor changes, working hours, and other relevant changes.
    • Setting up contracts, adjusting billings, credit requests, cancellation, etc.
    • Special handling billing.
    • Completing fleet administration tasks including ensuring insurance documents are current, issuing vehicle assignment change notices
  • Back up support and coverage to dispatch / accounts payable:
    • Answer incoming calls and dispatching service calls based on urgency, technician availability and proximity.
    • Following up on accounts payable with clients and escalating issues to proper channels within the organization & coding invoices for accounts payable processing.
    • Work with sales, supervisors and dispatch to plan pit accesses.
  • Filing and other administrative duties as required.
  • Managing the distribution of annual maintenance log sheets, among supervisors & route technicians
  • Maintaining and updating tool calibration database, ensuring tools are sent out for calibration if needed
  • Keeping track of new and outstanding warranty items for Schindler installed units. Ordering material if needed, coordinating with supervisors and technicians to complete & close the items.
  • Completing fleet administration tasks including ensuring insurance documents are current, issuing vehicle assignment change notices
 

Mobility needs you

Knowledge

  • University Degree as a minimum requirement (Engineering or Business Administration preferred)
  • Experience working in an administrative role, sales role and in a fast-paced environment is strongly preferred
  • Solid understanding of service models with experience in customer relations
  • Strong interpersonal skills, relationship building skills

Critical Skills

  • Proficient in MS Office
  • Communication: Excellent verbal and written communication skills
  • Knowledge of SAP reporting functions considered an asset
  • Organization and Multi Tasking: Possess excellent organization skills with the ability to balance high volume of activities and changing priorities
  • Problem Solving: Information seeking and achievement orientation, ability to solve problems both independently and collaboratively  
  • Teamwork: Ability to interact with all levels and foster a teamwork relationship
